Privacy Notice

This is a plain-language explanation of what Reenactment Roster collects and who can see it โ written to be actually readable, not a legal document reviewed by a lawyer. If anything here is unclear, ask a unit moderator or reach out through your unit's listed contact info.
What we collect
When you create an account and fill out your profile:
- Your name, birthdate, impression, years reenacting, occupation, and an optional "about me"
- Your email address โ used to send you sign-in links, and, if you're an active member of a unit, a weekly digest email when that unit has new events (there's no separate opt-out for the digest today; leaving the unit stops it)
As you use the app:
- Event RSVPs โ whether you're going, your meal-plan choice, what you're bringing, and what gear you need
- Carpool posts โ whether you're offering to drive or need a ride, and your departure area (see "The carpool map" below for what happens to that text)
- Gear listings you post to a unit's loaner board, with an optional photo
- After-action notes and photos you post to an event
- Your rank and moderator/member role within each unit you belong to
Who can see what
This app is shared across every participating reenacting unit, and most of what you post is visible to any signed-in member of any unit โ not just your own. Specifically, once you're signed in, everyone can see:
- Every profile (name, impression, years reenacting, occupation, about me)
- Every unit's roster, including rank and moderator/member role
- Every event across every unit, and everyone's RSVP details for it
- Every carpool post and gear listing
- Every after-action note and photo
A few things are kept narrower:
- Your email address is only visible to the moderators of units you're an active member of โ never to the general membership, and never to other units.
- Carpool ride requests/offers (proposing a specific pickup with a specific driver or passenger) are only visible to the two people involved, not the rest of the unit.
- Reports you file on a post are visible only to you and that unit's moderators โ not to the person you reported, and not to anyone else.
Your birthdate is used to confirm you're 21 or older before you can create an event โ beyond that check, it's not shown anywhere in the app and stays visible only to you on your own profile form. Joining a unit requires that unit's moderator to approve your request first; nobody is added automatically.
Photos
Event and gear photos are stored in a way that isn't restricted to signed-in members โ if someone has (or finds) the direct file link, they could view it without an account. We recommend not uploading anything you wouldn't want seen outside the app.
App Feedback
The feedback form (footer link) emails whatever you type straight to the app admin's inbox. If you're signed in, your account email is automatically included so a reply is possible โ nothing else from your account is attached. If you're not signed in, providing your email is optional. Feedback isn't stored in the app's database; it only exists as that email.
The carpool map
If you enter a departure area for a carpool post, that text is sent to OpenStreetMap's free Nominatim service to convert it into map coordinates โ the only place this app sends your text to an outside service. We only send what you typed (e.g. a town or area name), and only when you save a carpool post.
Who else handles your data
Reenactment Roster runs on a small set of infrastructure providers, each with their own privacy practices:
- Supabase โ hosts our database, handles sign-in, and stores uploaded photos
- Resend โ delivers sign-in emails and weekly digest emails
- Vercel โ hosts the app and collects basic, non-identifying site-usage analytics (page views, not tied to your identity)
- OpenStreetMap Nominatim โ converts carpool departure text into map coordinates, as described above
We don't sell your data, and we don't use it for advertising โ there isn't any advertising in this app.
Exporting and removing your data
A unit's moderators can export that unit's full history (roster, emails, every event and its RSVPs/carpool posts/after- action posts, gear listing history) as a single file, so the unit keeps its own record independent of this app. If you'd like your account or your posted content removed, ask a moderator of your unit โ they can remove your membership, and you can delete your own posts, RSVPs, and gear listings yourself at any time.
Changes to this notice
This notice may be updated as the app changes. Significant changes will be reflected here with an updated date at the top.
