Plain language, not a legal document reviewed by a lawyer. Reenactment Roster is a free coordination tool built for Civil War reenacting units โ€” by using it, you're agreeing to the following.

What this is

Reenactment Roster helps reenacting units coordinate events, RSVPs, carpools, gear loans, and after-action notes/photos, and keeps a running record of unit history. It's a volunteer-run hobby tool, not a commercial service โ€” there's no cost to use it and no guaranteed uptime or support response time.

Everything we build here is guided by two goals: reducing logistics friction (less time spent coordinating, more time on the hobby itself) and improving institutional memory (this app as your unit's permanent record, so who attended what and your unit's history don't quietly disappear when an officer moves on or whoever used to run the group's spreadsheet stops). If a feature doesn't clearly serve one of those two things, it doesn't belong here โ€” we're not chasing engagement metrics or building social-feed features for their own sake.

Who can use it

This app is intended for adult members of participating reenacting units. If a unit includes minors, a parent or guardian should be the one creating and managing that person's account and any content posted under it.

Joining a unit requires that unit's moderator to approve your request โ€” creating an account doesn't automatically make you a member of anything.

Creating an event additionally requires being 21 or older, based on the birthdate on your profile. If you haven't set a birthdate, you won't be able to create events until you do โ€” this only affects who can create an event, not who can view or RSVP to one.

Your content

You keep ownership of anything you post โ€” profile info, RSVPs, carpool posts, gear listings, after-action notes and photos. By posting it, you're allowing the app to show it to other signed-in members as described in the Privacy Notice โ€” that's the whole point of the app. You can delete your own posts, RSVPs, and gear listings at any time; a unit moderator can also remove content from their unit, including yours, if it violates the conduct rules below.

Don't post anything you don't have the right to share โ€” that includes other people's photos or private information without their okay.

Conduct

This is a small hobby community โ€” be respectful. No harassment, hate speech, spam, or posting anything illegal or clearly inappropriate. Any member can report an after-action post they think crosses a line; a unit moderator can dismiss the report or remove the post. Repeated problems can get you removed from a unit by that unit's moderators.

Accounts

Sign-in uses a magic link or one-time code sent to your email โ€” there's no password to protect, but that also means whoever controls your email can access your account. Keep your email secure, and let a moderator know if you think your account's been compromised.

No warranty

This app is provided "as is," with no guarantee it will always be available, error-free, or fit for any particular purpose. It's a coordination aid, not a substitute for your own judgment โ€” always confirm important logistics (meeting times, who's actually driving, safety-critical gear) directly with the people involved rather than relying solely on what's posted here.

To the extent allowed by law, the people who built and run this app aren't liable for damages arising from your use of it, including lost data, missed events, or carpool/coordination mishaps.

Changes

These terms may be updated as the app changes. Continuing to use the app after an update means you accept the current version; significant changes will be reflected here with an updated date at the top.
